Booking & Participation Policies
Here's what you need to know before and after booking. We've kept it plain English — no fine print intended to trip you up.
Cancellations & Rescheduling
We need at least 72 hours notice to cancel or reschedule a private lesson. This gives us a realistic chance to rebook the court time and avoid fees we'd otherwise absorb.
Cancellations within 72 hours may result in a partial charge at the coach's discretion — just reach out and explain the situation, we're reasonable people.
Missed sessions, early departures, or removals for conduct reasons are not eligible for refunds or credits.
Court Availability
We teach on public courts across Oakland and the East Bay for which Forefront Tennis has teaching authorization. In rare cases, court access may be affected by facility conditions beyond our control — we'll notify you as early as possible when that happens.
Rainouts
We monitor weather closely and will text or email you by morning of the session if we need to cancel due to rain. That call is always the coach's decision.
Rained-out sessions are typically credited toward a future lesson. If you'd prefer a refund instead, just ask — we'll take care of it.
Pod & Clinic Pricing
Pod and clinic rates are set based on the anticipated number of participants at the time of booking. If fewer people attend than expected, we reserve the right to adjust the per-person rate to reflect the actual format — private, semi-private, or a smaller clinic — at our discretion.
For example, if a session is booked as a 3-person pod and only 1 or 2 participants show up, the rate may be adjusted to our standard private or semi-private pricing rather than the original split rate. We'll communicate any adjustment before or at the start of the session.
Makeups & Credits
For ongoing programs, we can typically accommodate one planned miss per term with advance notice. Makeup sessions aren't guaranteed unless confirmed in writing.
Participation & Risk
Tennis involves physical activity and the inherent risk of injury. By booking, you (or the parent/guardian registering a minor) voluntarily assume those risks and agree to hold Forefront Tennis Academy and its coaches harmless for injuries arising from ordinary participation in lessons, clinics, or match play.
This doesn't apply to injuries caused by gross negligence or willful misconduct on our part.
Conduct on Court
We ask everyone — players, parents, and spectators — to be respectful of the coach, other players, and the facilities. If behavior disrupts a session or creates a safety issue, we may ask someone to sit out. Removals for conduct are not eligible for refunds.
Parent Sideline Policy
Parents are welcome to watch, but please hold coaching input during sessions — it can confuse players getting instruction. Feedback and development questions are always welcome before or after the lesson, not during.
Photo & Media
We may photograph or film sessions for coaching feedback or promotional use. If you'd prefer to opt out, just let us know before the session.
